Fleet Service GB is a leading, award winning provider of fleet management services, known for our innovative approach and commitment to excellence. We manage diverse fleets across various industries, ensuring optimal efficiency and safety. We are seeking a detail-oriented and proactive individual to join our team as a Fleet Controller in our busy Operations department.

Position Summary

In this role, you will play a key part in supporting our operational delivery by managing daily workloads, ensuring transport and compliance standards are maintained, and providing technical and administrative support across a wide range of activities. You will be a central point of contact for clients, drivers, suppliers, and internal teams, helping to ensure our services are delivered efficiently, safely, and to the highest standard.

Key Responsibilities

Customer and operational support

  • Answer inbound calls within agreed KPIs, providing excellent service.
  • Manage daily task allocation using the operating system, ensuring all planned and unplanned activities are prioritised and completed.
  • Action and complete all tasks assigned to you promptly and accurately.
  • Book jobs, check on site status, follow job completion, and ensure all relevant documentation is received and correctly stored.

 

Maintenance and compliance

  • Monitor MOT, servicing, and other due items by running daily/weekly reports, contacting clients/drivers, and arranging required appointments.
  • Support external accreditation requirements, including running weekly reports for PMIs, cranes, tail lifts, and other compliance-critical items.
  • Ensure documentation is up to date and compliance records are accurate and complete.

 

Authorisations and cost control

  • Handle all authorisation requests effectively, working within client parameters.
  • Build estimates, challenge repair recommendations where appropriate, and confirm final costs.
  • Obtain client authorisation for work and manage warranty escalations as needed.

 

Reporting and systems

  • Run reports for new vehicles and set up maintenance/compliance intervals in the system.
  • Manage the VOR (Vehicle Off Road) process.
  • Follow and manage the Chase report, closing jobs and chasing invoices (compliance invoices only).
  • Maintain clear, concise, and relevant notes across all systems.

 

Team and process support

  • Provide technical support to the Operations and Compliance team.
  • Manage out of hours bookings.
  • Action ad hoc emails and requests promptly.
  • Identify opportunities to improve processes or systems to enhance service delivery.
  • Adhere to information security policies and report concerns to the Data Protection Officer.
  • Use and maintain quality assurance (QA) systems for internal, supplier, and client interactions.
