Grey Fleet Management

A grey fleet driver is defined, for the purpose of this proposal, as an employee who uses their own personal vehicle for work-related business such as client visits or inter-office trips, rather than a company-provided vehicle. In these circumstances the company still has a legal “duty of care” to ensure that the driver and vehicle are safe and compliant, covering aspects like driving licence, business insurance, vehicle condition, maintenance records, MOT and Road Fund Licence.

Simplified Grey Fleet Compliance & Monitoring

Grey fleet drivers will be required to complete an Authority to Drive application (using the Driver App) which will include specific details regarding the vehicle. Once the application is completed the information provided will allow the programme to carry out all necessary checks to satisfy legal and H&S requirements and where approved, authorise the employee to drive their own vehicle on company business.

It is important to note that the Authority to Drive will be conditional on the use of the vehicle specified in the Authority to Drive application. Any change of vehicle (or multiple vehicle use) requires the driver to update the vehicle(s) information which allows the programme to carry out further checks and, when satisfied, confirm the continued Authority to Drive permission.
