A grey fleet refers to vehicles owned by employees but used for work purposes, rather than vehicles provided by the employer. Despite being privately owned, these vehicles are still considered part of the company’s fleet for management and compliance purposes. Managing a grey fleet effectively is crucial for ensuring both the safety of employees and the legal compliance of the business.
Authority to Drive
At Fleet Service GB, all drivers, whether using a company vehicle or their own, must apply for ‘Authority to Drive’ as part of our comprehensive FSGB Driver Management solution. This includes a detailed Authority to Drive registration process. It’s essential that all grey fleet drivers undergo this registration to ensure they meet the same stringent standards as those driving company-owned vehicles.
The registration process is designed to gather vital information on the driver. This includes driver details, health declarations, driving declarations, and an assessment of driving experience. In addition to these declarations grey fleet drivers are also asked to provide details regarding vehicles used on company business, to ensure compliance with policy. Additionally, a short fitness to drive module is incorporated, ensuring that all drivers are physically and mentally fit to operate a vehicle safely. As part of our rigorous risk management strategy, a DVLA licence check is also conducted to verify the driver’s credentials and ensure they are legally allowed to drive.

This entire process is underpinned by our Achieve Software Hub, which serves as the backbone of our Fleet Driver Management solution. All drivers, including those in the grey fleet, will be issued with the Achieve Driver App, a critical tool for managing and tracking driver performance, compliance and wellbeing. The app facilitates continuous learning and ensures that drivers are kept up to date with the latest safety protocols and regulations.
The Achieve Driver App is an integral part of our FSGB Driver Management solution, offering ongoing learning opportunities and helping to mitigate risks associated with grey fleet operations. By using the app, drivers can easily access their eLearning modules, complete necessary vehicle checks and tasks and receive updates on their driving status. This proactive approach to risk management helps to reduce incidents and ensures that all drivers, whether in a company vehicle or their own, adhere to the highest standards of road safety.
